Xero auto-reminders. I love those things. Seriously, one of the best functions of Xero however what I don’t love is the way they are worded by default. They are exactly the same- for reminders to be effective, there must be at least three and they must increase in urgency as well as be worded differently.
So without further adieu, here are some new and improved templates for you to use. It is easy to amend the default templates- Settings, General Settings, Invoice Settings, Invoice Reminders, Edit.
1st Reminder:
Hi (their name)
I hope this finds you well. I am not sure if you were aware, but our invoice for (amount) was due for payment on the (due date). If you are anything like me, I am sure you are flat out at the moment and may have accidentally overlooked the invoice. If so, could you please make the payment today and email me a receipt once paid.
If you have any issues or want to discuss the bill, please let me know. If you need an extension to make payment, that is fine too- please just let me know as soon as you can.

2nd Reminder:
Hi (their name)
Yep, me again! Our invoice is still outstanding so can you please make the payment today or let me know if there are any issues preventing payment? Our trading terms are very strict as this allows us to focus on providing a superior product and service which I trust you have received in this instance.
Thanks very much and I look forward to receiving your payment, noting our file and ensuring you are not bothered with this again.

3rd Reminder:

Unfortunately this is the third reminder we have sent you in regards to our outstanding invoice and if it isn’t paid today, or an arrangement to pay entered into, I cannot guarantee that further action will not be taken. This isn’t something we take lightly and obviously we would rather work with you, however our options are now very limited with how we move forward.
Your invoice was due on the (due date) and is now well and truly passed our acceptable trading terms.
To ensure no further action is taken, please make urgent payment today and notify me once done so I can remove your name from our list.
If you have any issues that I may not know about, now is your opportunity to tell me otherwise I am obviously going to think the worst.
